Introduction


This guide explains how to use the MassMailer plug-in application once it is set up. For information on downloading and installing the plug-in, please refer to the MassMailer Configuration Guide. Configuration Guide


MassMailer extends the limits and capabilities of Salesforce email. Email sent with MassMailer does not count toward your Salesforce email limits and has several additional features and advantages.


With MassMailer, you can use the easy wizard to send mass email to Leads, Contacts, or Users. The wizard consists of simple steps to build (or reuse) a MassMailer view of recipients, edit or create an email template (or plain text email), send blind copies to people on your team, and send the mass email immediately or schedule for later delivery.


You can review statistics for your mass email and see the number of mass emails delivered, opened, or clicked. You can also see total unsubscribes, drops, spam, and bounce counts from one central Mass Email Statistics screen.


MassMailer also allows you to schedule one-off emails directly from a Contact or Lead. You can distinguish between emails sent with MassMailer and those sent with standard Salesforce functionality in the Activity History. One-off emails use the same templates (or plain text) and can also be sent immediately or scheduled for later delivery.


MassMailer allows you to use the standard Salesforce Campaign object to add Leads and/or Contacts as members of a Campaign and then send email with MassMailer functionality, not counting toward Salesforce limits.


MassMailer is an easy-to-use, robust application to help you get more out of your Salesforce organization.

The Mass Email Wizard


With the Mass Email Wizard, you create views for each object (Lead, Contact, User) to which you will send mass email, then follow these simple steps. All views you create will be available in the View: lookup in Step 2 of the Mass Email Wizard.Create View or Edit View


Sending Mass Email With The Mass Email Wizard


To use the Mass Email Wizard:


1. Click the Mass Email Wizard tab and select the object for which you want to build a mass mail view: Lead, Contact, or User. For the example, we are using             Lead.

 

                   


 

 

2. Once you select the Object, the Wizard moves to the Recipient Selection screen. Select an existing View from the Lookup, or choose Create New View to           build a new View. With the desired view selected, click Next.Create View or Edit View

 

                       


 

3. On the Template Selection screen, select an existing template or enter the Subject and Body for the email. Click Next.

   

                       


 

Note: You cannot import images using the Rich Text Formatting (RTF) toolbar because those images are considered “Private” and will not be visible outside of                   Salesforce.


4. The default Sender Name and Sender Email come from the Logged in User. You can edit these, as well as the Reply To.


For Leads and Contacts, you can also select Global Sender to send the mass email from the Global Sender defined in MassMailer Setup. Or, you can select Lead Owner or Contact Owner to use the Sender Name and Sender Email of the Salesforce user who owns the Lead or Contact record.

 

                             


   

In the BCC Options, select BCC Sender if you want a blind copy sent to sender and/or Global BCC if you want a blind copy sent to the Global Sender defined in MassMailer Setup.


5. With your recipients and template selected, you can send now or schedule to send later.


                   · To send the email to the Leads (or Contacts or Users) in your View now, select Send Now. Then click Submit.

 

                             


   

                    · To schedule the email to be sent to Leads (or Contacts or Users) in your View later, select Schedule On. The Date field and Time drop-down will                           appear for you to specify when to send the Mass Email. After providing the date and time, click Submit.

 

                                 


   

6. Once you have sent or scheduled your mass email, click Finished. You will be redirected to the Mass Email tab.

 

                                 

 

 

Statistics For Mass Email


MassMailer’s Mass Email Statistics provides analytics regarding mass emails that go beyond Salesforce functionality.


On the Mass Email Statistics tab, you can see the overview of all recent Mass Email jobs. Jobs for Leads, Contacts, and Users are all shown together. You can also create a standard Salesforce view of the data to include the MassMailer jobs that meet the criteria you specify for the view.

 

                     


 

The MassMailer jobs with Scheduled Hours and Scheduled Minutes both equal to zeroare those that were sent with the “Send Now” option. The MassMailer jobs with non-zero numbers in Scheduled Hours and Scheduled Minutes are scheduled jobs, listing the hour and the minute at which they were scheduled.

 

                           


 

Click the Scheduler Mass Email Name of any job to view the details of the job.

 

                  

                   

 

                     



 

The Mass Email detailed view includes:


             · Mass Email Statistics, including the Total Requests, Total Delivered, Total Opens, Total Clicks, Total Blocks, Total Unsubscribes, Total Bounces, Total Spam Reports, Total Spam drop, Total Invalid Emails, Total Repeat Spamreports, Total Unique Opens, Total Repeat Bounces, Total Unique Clicks and Total Repeat Unsubscribes.


 

          · Template Information


Click any number in the Mass Email Statistics section to display a dialog box with details regarding the Leads, Contacts, or Users related to those statistics:

 

 

                       


Sending One-Off Emails


You can also send mass emails directly from Salesforce Leads or Contacts. See the Configuration Guide for details on setting up Leads for use with MassMailer.


Sending a One-Off Email to A Lead


1. Create a new Lead using standard Salesforce functionality or look up an existing Lead.


The email field for the Lead cannot be blank for this functionality.

 

                 


2. Select the new Lead (or existing Lead) by clicking the Lead Name, then scroll to the Lead’s Activity History related list, and click Schedule Email via                   MassMailer.

 

                               


3. In the resulting Schedule one-off Email screen for the Lead, optionally edit the Reply To Email.

 

                           


 

4. To select an existing email template, select the folder that contains the template from the Select Folder drop-down, then select the desired template from the Select Template drop-down. Alternately, enter the Subject and Body fields without using a template. Click Schedule.

 

                         


5. Scroll below the Email Information section to the Email Delivery Options section.

 

               

 

6. Enter the Date and Time and click Schedule to schedule the email delivery. Alternately, select the Send Now radio button and click Send to send the email immediately.

 

Sending A One-Off Email To A Contact


1. Create a new Contact using standard Salesforce functionality or look up an existing Contact.


The email field for the Contact cannot be blank for this functionality.

 

               

 

2. Select the new Contact (or an existing Contact) by clicking the Contact Name, then scroll to the Contact’s Activity History related list, and click Schedule Email via MassMailer.

 

                       


 

3. In the resulting Schedule one-off Email screen for the Contact, optionally edit the Reply To Email.

 

                       


4. To select an existing email template, select the folder that contains the template from the Select Folder drop-down, then select the desired template from the        Select Template drop-down. MassMailer Activity History and Status On Leads and Contacts


All email sent via MassMailer will be recordedin the Activity History of the recipient object (Lead or Contact).


You can distinguish between emails sent by Salesforce and by MassMailer from the Subject lines of the emails. Emails sent via MassMailer will include the word MassMailer before the subject, whereas Salesforce emails will simply read “Email.”

 

                           


You can also view the MassMailer email details in the MassMailer Email Status related list of the recipient object (Lead or Contact).

 

             


MassMailer Campaigns


With MassMailer, you can set up Salesforce campaigns, add Leads and/or Contacts as campaign members, and then schedule mass email to be sent to the campaign members.


Setting up a MassMailer Campaign


1. On the Salesforce Campaign tab, click New to build a new Campaign.

 

             


2. Enter the Campaign Name and complete the other fields such as Type, Status, Start Date, End Date, and Description, as needed for your organization.

   

               


3. Select the Campaign that you have created.


4. Click Set Member Setupto add MassMailer status values as options for the campaign member statuses. You will receive a message that the Member Status         was updated properly.

 

               


5. Once you have set member status, click Advanced Setup to select the member status values to automatically include in the campaign.

  

                 


6. On the resulting Campaign Member Status screen, the default is to include all the MassMailer status values: New (as default), open, delivered, invalid, click,           unsubscribe, bounce, and spamreport. Click Edit to select or deselect status values to include in the campaign.

 

                


Adding Members to the MassMailer Campaign


1. Open the MassMailer Campaign you created, click the Manage Members drop-down and select Add Members – Search to add members from the Leads and/or     Contacts objects directly to your Campaign.

 

                   


2. Select the Leads radio button and enter the search criteria to search for the Leads to whom you want to send the email. Click Go!to find the Leads that meet         your filter criteria.


(To add Contacts instead of Leads, select the Contacts radio button.)

 

                   


 

3. Select the Leads you want from the search, click the Add with Status drop-down, and select “New” as the status value to assign to the Leads.

 

                   


Repeat the same steps with the Contacts radio button selected to add contacts as campaign members.


Editing Members in a MassMailer Campaign


To view the existing campaign members for a MassMailer campaign, click Manage Members => Edit Members - Search on the Campaign.

 

                   


You can view, edit, or remove campaign members, as well as build filters to search for specific campaign members.

 

                 


Sending Or Scheduling A MassMailer Campaign


To send or schedule a MassMailer Campaign to its Members (Contacts and/or Leads):


1. Select the MassMailer Campaign to which you have added the Campaign Members.


2. Click Schedule Via MassMailer to prepare to schedule the email.

 

                 


3. Click Edit Template to select or edit the email template to send to the Campaign Members.

 

               


4. Provide the MassMailer Campaign job with a Schedule Name.

 

                 


5. In the BCC Options, select BCC Sender if you want a blind copy sent to sender and/or Global BCC if you want a blind copy sent to the Global Sender defined       in MassMailer Setup.


6. For the Sender Options, selected the Logged in User (you), the Global Sender (defined in MassMailer Setup), or the Lead Owner. If you choose Logged In         User, you can edit the Sender Name, Sender Email, and Reply To.


7. Enter the Subject and Body fields on this page, or select a template by choosing the Folder that contains the template from the Folder drop-down, then                 selecting the desired template from the Template drop-down. Click Save.


8. From the resulting Schedule via MassMailer dialog, you can send a test email, schedule the mass email for later delivery, or send now.

   

                     


              · To send a test email, click Send Test. The test email will only be sent to the logged in user.


              · To schedule the email, click Schedule Later. In the resulting screen, select Schedule and enter the Schedule Date and Schedule Time to send the                  email. Click Save.


The timezone is auto-populated based on your Salesforce org’s time settings.


If you wish to un-schedule a Mass Email previously scheduled at this time, de-select the Schedule checkbox and click Save.

   

                   

             · To send the email to the campaign members immediately, click Send Now.


Note: MassMailer emails will only be sent to those campaign members with the status value “New”. When you click the Send Now button, or send a test email, you will receive a message that the email to campaign members was sent successfully. Once a MassMailer job has been sent, the campaign member status values will change to delivered, bounce, open, click, spamreport, or unsubscribe, according to notifications send by SendGrid


Cloning a Campaign Using the MassMailer CloneButton 


To clone a campaign, click MassMailer Clone and overwrite the initial Campaign Name with a new name for the clone. If you clone a campaign this way, that campaign’s members with the status values of “delivered,” “open,” or “click” will be added to the cloned campaign with the status value of “New.”

 

                         


Sending a Recurring Campaign


Keep adding on new campaign members with status new to same campaign and email will be sent daily (from start date to end date of campaign ) to all newly added campaign members automatically

  1. Create new campaign.
  2. Click on Button Schedule Via MassMailer

  3. On next page make sure you check the check the checkbox against recurring campaign. Click Save

  4. It will redirect you to Campaign page. Now add the Campaign member with the status new.

  5. Click on Button Schedule Via MassMailer again and this time it will take you to the below page.

  6.  Click  schedule Later button. It will take you to following page.

  7. Enter Schedule Start Date and Schedule End Date.

  8. Click Save.

 

Stay-in-Touch Requests


MassMailer can send mass Stay-in-Touch requests to Contacts accessed from a MassMailer Contact view. You can create a Contact view in the Mass Stay-in-Touch wizard or use a view you already created with the Mass Email Wizard. Contact views created with either MassMailer wizard are available for selection in the View drop-down in step 1 below. 


You can use MassMailer to send Stay-in-Touch requests from Salesforce with the following advantages:


1. Salesforce is limited to 250 Stay-in-Touch requests; MassMailer Stay-in-Touch requests are bulkified so you can send as many as you want.


2. Salesforce has limited the amount and choices of fields to include in your stay-in-touch request; MassMailer allows many additional standard fields, as well as custom fields.


Sending Stay-in-Touch Requests to Contacts


1. On the Mass Stay-in-Touch tab, from the Recipient Selection screen, select an existing MassMailer Contact View from the drop-down, or select Create New View to build a new MassMailer Contact View.


With the desired view selected, click Next. Create View or Edit View

 

                 


2. To edit the stay-in-touch email and specify which fields the Contact should confirm or update, click Change your MassMailer stay-in-touch settings.

 

               


3. Edit the Subject and Note (body) for the Stay-in-Touch email, and enter a Signature.

 

                   


4. To make additional fields available for Contacts to confirm or update from the Stay-in-Touch note, select the fields you want from the Available Fields column and use the right arrow to move them to the Selected Fields column.

 

                     


5. To send the email to the Contacts in your Contact View, click Send. Then click Finish.


Processing Stay-in-Touch Requests


The recipients of your MassMailer Stay-in-Touch emails will receive messages such as the one below:

 

                 


Updating Stay-in-Touch Fields


1. If the Contact responds to the Stay-in-Touch request by clicking Update Now, the following screen allows the Contact to update the fields.

 

                 


2. Once the Contact updates the fields and clicks Continue, an email such as the following is sent to the MassMailer Stay-in-Touch requestor:

 

                         


3. When you receive the Stay-in-Touch response, click Upgrade Now to update the Contact’s information in Salesforce. From the resulting Stay-in-Touch Edit screen, you can edit the changes provided by the Contact as necessary, then select Accept Changes or Reject Changes.

 

                 


No Change to Stay-in-Touch Fields


If the Contact responds to the Stay-in-Touch request by clicking No Change, an email is sent to the MassMailer Stay-in-Touch requestor such as the following and no change is made to the Contact’s data in Salesforce.

 

                               




MassMailer Email Verify


MassMailer can Verify your Lead/contact records email address and update the Email Verification status on records.


    Single Email Verify

    1. Open any Lead/contact record .

    2. Click on MassMailer Email Verify button

    



3. On Click of button MassMailer EmailVerify, a popup will appear showing Message 'Successfully Verified'. Click  Ok.



4. Email Verification Status and Email Verification Date fields gets populated.


 


MassMailer Email Wizard With Email verify

                  


1.  Go to 'MassMailer Email Wizard Tab'



2. Select an Object Either Lead or contact and select a view.



3. Click on Button Verify Emails. It will redirect you to Email Verification job status record where you can see status of job and stats.

4. Email Verification status and Email verification date will be updated on each record.

 

Campaign MassMailer Email Verify


MassMailer can Verify your Campaign members (Lead/contact) records email address and update the Email Verification status on records and Campaign members as well.


1. Click on MassMailer Email Verify button in Campaign detailed page.



2.  On Click of button MassMailer EmailVerify, a popup will appear showing Message 'Successfully Verified'. Click  Ok.




3. Now another popup will appear 'EmailVerify Job Successfully scheduled. Job status isHolding. Refresh the page and check Status field for latest Status'. click Ok




4. Email Verification Status and Email Verification Date fields gets updated with status.



5. In similar way status will be updated in campaign member details page as well.




6. Email Verification Statistics will be populated in separate section in campaign details page.








MassMailer Reports


If you are looking to export the MassMailer email status values for leads/contacts or for the whole campaign etc you can create a custom report in Salesforce.


Please follow the below steps to create this report.


Click on the Report Tab then click on the 'New Report' button 



Search for MassMailer so you can find MassMailer Email Status with Lead/Contact reports. Select one of them and click on the 'Create' button.



Add required fields into Preview like Campaign Name, Lead First Name, Lead Email and Event etc then add "Filters" like Campaign Name or based on your requirement and make sure that Show filter should be "All MassMailer Email Status".



Now you can see that reports shows all the MassMailer email status events. 


You can export these results into a CSV file by clicking on the 'Export Details' button.
