MassMailer Outreach Management


MassMailer lets you send emails via the UI in the following 4 ways.


  • Send Emails to the MassMailer List View using MassMailer Outreach Wizard

  • Send Emails to the Salesforce Campaign Members using the Salesforce Campaign

  • Send Emails to the Salesforce List View

  • Send Email to a Single Object from the Object Details page


MassMailer also supports sending emails via the Process Builder as well. You can learn more about the same in the articles in this folder.


Send Emails to the MassMailer List View using MassMailer Outreach Wizard


MassMailer Outreach Wizard is an easy to use step-through flow through which you can send emails to a targeted list of records of a specific object type chosen.


To start, go to the MassMailer app and click on the ‘MassMailer Outreach Wizard’ tab. It displays various navigational steps such as Outreach Campaign, Target Audience, etc. 

Outreach Campaign


In this step, enter the value for ‘Outreach Campaign Name’ or keep the default value.

‘Outreach Campaign Channel’ value is set to ‘Email’ by default.


Click the ‘Next’ button to go to the next step.



Target Audience

In this step, select the object you want to send emails to and also select the respective list view you want to select from the drop-down list. You also have an option to create a new list view or even to edit the existing list view.


Click the ‘Next’ button to go to the next step. You can also click the ‘Save’ button to save the outreach record in the ‘Draft’ status and edit it later.





Email Template


In this step, you have multiple options on how you want to author the email template.


  1. Advanced Email Templates created by MassMailer Template Builder (Advanced Editor).

    1. You can select an existing email template that you created using the MassMailer template builder. (Here you can find instructions on how to create an email template using MassMailer Template Builder).

    2. You can create an email template from scratch using the ‘Advanced Editor’.

    3. You can create an email template from a ‘Base Template’ that is created by you.

    4. You can create an email template from a ‘Base Template’ that is provided by MassMailer.

  2. Email Templates created by the Salesforce Templates feature.

    1. You can select an existing email template in Salesforce that is of type, TEXT or CUSTOM. (Here you can find instructions on how to create a template using Salesforce Template Feature).

  3. Create a basic text-based email template using the ‘Basic Editor’ provided by MassMailer.

    1. This is the least recommended option even though MassMailer does provide this option when you select the ‘Basic Editor’ option from the ‘Editor Type’ field. In the future, MassMailer will develop a ‘Rich Text Editor’ feature in place of the current ‘Basic Editor’.



Advanced Email Templates created by MassMailer Template Builder (Advanced Editor)


You can select an existing email template that you created using the MassMailer template builder by selecting a folder and the respective email template as shown below.



You can create an email template from scratch using the ‘Advanced Editor’. Just select ‘Advanced Editor’ from the ‘Editor Type’ field. It will automatically load the advanced editor below.





You can make the necessary changes to the template using the advanced editor editing options, and click on the ‘Save’ button on the editor.


You can create an email template from a custom ‘Base Template’ that is created by you.




You can make the necessary changes to the template using the advanced editor editing options, and click on the ‘Save’ button on the editor.


You can create an email template from a ‘Base Template’ that is provided by MassMailer out of the box.




You can make the necessary changes to the template using the advanced editor editing options, and click on the ‘Save’ button on the editor.


Email Templates created by the Salesforce Templates feature.


In this option, you can select a classic email template that you have already created in Salesforce that is of type ‘TEXT’ or ‘CUSTOM’.


When you select an existing email template that you already created in Salesforce, MassMailer will load the same into the basic editor in view-only mode. Unless it is purely text-based, we don’t recommend you to update it using the basic editor provided by MassMailer.





Create a basic text-based email template using the ‘Basic Editor’ provided by MassMailer.


You can create a basic text-based email template just by selecting ‘Basic Editor’ in the ‘Editor Type’ field.





Other Options in the Email Templates Step:


The following options are provided to you to enrich your experience of creating the email templates in MassMailer.

Merge Fields

You also have an option to select any merge field from a specific object and enter that into the email template.




 You can select either the classic or lightning merge field notation.




A/B Testing

You have an option to test with an alternate email Template by enabling the A/B Testing option on the top section

After that, a new Sub Tab, ‘Select Alternate Template’ will appear, which can be used to select/build an alternate template to be sent.

Email Preview Text

You have an option to enter the email preview text as well. The following picture demonstrates how the email preview text looks once the email has been received by the recipient.






Once the template has been created/edited you can go to the next step, by clicking on the ‘Next’ button.






File Attachments


MassMailer supports the file attachments’ total size up to 3 Mb. 


You can upload the files from the computer. You can select one file at a time from the computer.




You can also upload them from the Salesforce files storage such as Salesforce Documents, Salesforce Attachments, Salesforce Files.


Once you select the files, click on the ‘Add’ button to add the files.



You can also apply a filter for files, click on the ‘Filter’ button to apply filter the related files present on the current object/parent object.


You can apply multiple filters to add multiple files, which will be attached to the email dynamically 


Once you have uploaded the files / added filters, click the ‘Next’ button to go to the next step.







Sender Options


In this step, you can select the ‘sender name’, ‘from email address’, ‘reply-to email address’ as per your needs.


Select Sender

Logged In User

You can select the logged in user as the sender in this option.



Global Sender

You can select a global sender as the sender in this option. 




You can define the global sender by going to MassMailer Setup -> Email Settings -> Sender Settings -> Global Senders


On Behalf Of

In this option, you can select any email address as the sender and reply to and at the same time enter any sender name.



Custom

In this option, you can have a completely customized sender option. You can select the from name, from email, reply-to email from either the target object fields or from the user fields.




Select CC Email Field


In this option, you can  select the email field

And you can also enter email manually

You can also select the email field of the object, click on the ‘Select CC Fields’ button to the email field


Select BCC Email

In this option, you can BCC the sender or select the BCC email from the drop-down.




You can set up the BCC email in the MassMailer Setup -> Email Settings -> Sender Options. You can BCC email once or BCC on every email.





Once you are done with the Sender Options, move to the next step by clicking the ‘Next’ button.

Delivery Options


In this step, you can select if you want to send the email right now or later by scheduling a specific date and time in the current user time zone.





You can select ‘None’ for ‘Email Preference Group’ if you want to display the Email Preference Group in the emails.



You can also select the ‘Email Unsubscribe Group’ if you don’t want the ‘global unsubscribe link’ to appear in the email instead display the ‘Email Preferences’ link so that the recipients can unsubscribe from a specific group.



You can define the Email Preference Groups by going to MassMailer Setup -> Tracking Settings -> Email Preference Group



If you completely don’t want to display the unsubscribe link then just set the ‘Suppress the unsubscribe link in the email’ to TRUE.



You can also select the ‘IP Pool’ provided you have more than one IPs and wants to use a separate ‘IP Pool’ for each campaign. 













Select Suppression List View


This allows you to suppress the emails going to the email present in the selected list views to suppress.


IP Pools


You can create an IP pool by going to MassMailer Setup -> Email Settings -> IP Pools



Link Email Event Logging

While sending email, email status can be linked to Multiple other parent objects to view the Related list on the Parent Object layout.


Here you can select the parent relationship field which you want to link


To view related Email status on parent layout you can add the ‘massMailerEmailStatusList’ lightning component to the Page layout in lightning.


Suppress Email Event Logging

You can select any of the email events to be suppressed by selecting one or more event options.



Suppress Salesforce Activity Logging

You can turn off the activity logging by Salesforce if needed.


Review and Send


In this final step, you can review all the settings and make sure everything is correct before you submit it. 



You can preview the email template by clicking on the ‘Preview Email’ button.




You can also send a test email by clicking on the ‘Send Test Email’ button to send a test email. You can enter multiple email addresses as comma-separated values and select a ‘merge record’ even if you don’t have any merge fields.






 If everything looks good, click the ‘Finish’ button to submit the email campaign to be sent.




Send Emails to any Standard or Custom Object


You can navigate to the specific standard or custom object details page and click on the ‘Send via MassMailer’ button to send emails to a specific object. It will take you to the ‘MassMailer Outreach Wizard’.





In the ‘Target Audience’ step, it will display the object name and the specific record details. The rest of the steps are the same as before.



Send Emails to all the records in a Salesforce List View


You can navigate to the specific object tab and select any Salesforce List View. Now click on the ‘Send via MassMailer’ button to send emails to all the records in the selected list view. It will take you to the ‘MassMailer Outreach Wizard’.




The ‘Target Audience’ page will display the object selected and the partial results. The rest of the steps are the same as before.


Send Emails only to the selected records from a Salesforce List View


You can navigate to the specific object tab and select any Salesforce List View. Now select the specific records you want to send emails to and then click on the ‘Send via MassMailer’ button to send emails. It will take you to the ‘MassMailer Outreach Wizard’.




The ‘Target Audience’ page will display the object selected and the selected records list. The maximum number of records displayed is 50. The rest of the steps are the same as before.




Send Emails from a Salesforce Campaign to the Campaign Members



Navigate to the Salesforce Campaigns tab, select any list view. Now click on the button called ‘New MassMailer Campaign’ that is shown on the right-hand side.


You can edit the campaign name if needed. Click on the ‘Nex’ button to go to the next step. 


In this step, you can add the campaign members from a MassMailer List View. 


How to Create Email Template

Manage Email Template

MassMailer email templates can be created through the ‘MassMailer Template Builder’ tab. This has an advanced editor with drag and drop UI which can make good looking email templates.

Manage Base Template

Base template are a type of reusable template, which can be used to create actual templates. MassMailer provides many templates out of the box which is used generally.

MassMailer Verify 

 From MassMailer List View


You can navigate to the specific massmailer list view record details page and click on the ‘MassMailer Verify’  button to verify emails.


Here you can select the email field of the object


Now you can check how many emails valid, invalid etc.



From Salesforce List View


You can navigate to the specific object tab and select any Salesforce List View. Now you can also select the specific records you want to send emails to and then click on the ‘MassMailer Verify’ button to verify emails. 



Here you can select the email field of object



Now you can check how many emails valid, invalid etc.





From Record Page


You can navigate to the specific standard or custom object details page and click on the  ‘ MassMailer Verfiy’ button to verify the email.


Here you can select the email field of object




Now you can check how many emails valid, invalid etc.


From Campaign

You can navigate to the specific campaign record details page and click on the ‘ MassMailer Verfiy’ button to verify email.




Here you can select the email field for the campaign child object record


Now you can check how many emails valid, invalid etc.


How to use MassMailer ListView Preview and Export functionality 

Here you can see the records of MassMailer list view 

To Export these record click on the down arrow icon as mentioned in the image



You can save these records in your system 


How to use MassMailer View In Browser functionality


This feature can help is adding a hyperlink to the email which can be used to open email outside the email client.


To use this functionality, Log Activities using Salesforce Email Message Must be enabled in the setup



Then you can use these merge tag in the email body

How to use Follow Up email functionality 

You can navigate to the specific MassMailer Outreach record then go to the related Mass Mailer Email Status and then click on Follow Up Button to open the Email composer



Here you can reply, which will be sent in the same original email thread.

Then click on Send Button

How to use Inbound Email functionality


This feature can be used to receive email from recipients in Salesforce. For example, when outreach is sent, any reply received on the email will be stored under the recipient record Activities section.


To use this feature, Navigate to MassMailer setup -> Account Setting -> Inbound Parse


Enable authenticated domains that will be used to send emails. (Replies received on these domains will only be tracked)


Then send an email from MassMailer like normal, and the FROM Address should be the once configured in MassMailer setup -> Account Setting -> Inbound Parse.


Reply received stored under Activity.


Click on the recent activity record 



Understanding Inbuilt Suppression functionality in MassMailer

Suppression is a record that is associated with a particular record. These are identifiers that a record should be sent to any email from MassMailer.


This helps in avoiding any emails going to recipients who opted out from emails, which increases the deliverability and credibility of the domain.


You can navigate to the specific MassMailer list view record details page and click on the ‘Add to Suppression List’

You can navigate to the object details page and check ‘Email Opt Out ‘.

 



How to use Email Monitor functionality

Email Monitor allows you to analyze your email before sending them to actual recipients. It checks email for Vocabulary & Copywriting, Coding & Layout, Link Quality and responsive Email Client Previews.


To test the email, you need to fill Sender Information fields with related information


Then, information related to the Email template needs to be filled in.

Then click on the Test Email Deliverability button.


After some time, you will be able to see the details for the email as shown below.
