MassMailer Outreach Management

MassMailer lets you send emails via the UI in the following 4 ways.

  • Send Emails to the MassMailer List View using MassMailer Outreach Wizard

  • Send Emails to the Salesforce Campaign Members using the Salesforce Campaign

  • Send Emails to the Salesforce List View

  • Send Emails to a Single Object from the Object Details page

MassMailer also supports sending emails via the Flow Builder as well. You can learn more about it in the articles in this folder. You can also use MassMailer Developer APIs to send emails.


Send Emails to the MassMailer List View using MassMailer Outreach Wizard

MassMailer Outreach Wizard is an easy-to-use step-through flow for sending emails to a targeted list of records of a specific object type.


To start, go to the MassMailer app and click the ‘MassMailer Outreach Wizard’ tab. It displays various navigational steps such as Outreach Campaign, Target Audience, etc. 


Outreach Campaign

Enter the ‘Outreach Campaign Name’ value or keep the default value in this step.

By default, the ‘Outreach Campaign Channel’ value is set to ‘Email’.

Click the ‘Next’ button to go to the next step.



Target Audience

In this step, select the object you want to send emails to and the respective list view from the drop-down list. You can also create a new list view or edit an existing one.

Click the ‘Next’ button to go to the next step. You can also click the ‘Save Outreach’ button to save the outreach record in the ‘Draft’ status and edit it later.





Email Template

In this step, you have multiple options on how you want to author the email template.

  1. Select Template: 
    It is used to select the template created by MassMailer or Salesforce. We can also make changes to the chosen template in the Template body. You can select an existing email template that you have created using the MassMailer template builder or you create one in Salesforce Classic Template. 

  1. Select Base templates:
    It is a type of reusable template which can be used to create templates. Using this section, you can select an existing email template you created using the MassMailer template builder for reusable purposes.

     3. Create Template:
This section provides two different features:

  • Basic Editor:
    Create a basic text-based email template using the ‘Basic Editor’ provided by MassMailer. This is the least recommended option, even though MassMailer does provide this option when you select the ‘Basic Editor’ option from the ‘Editor Type’ field. In the future, MassMailer will develop a ‘Rich Text Editor’ feature in place of the current ‘Basic Editor.

  • Advanced Email Template:
    Any template created using the Create Template Section (Advanced Editor)  is called an Advance Email Template.

Using the ‘Create Template’ section, you can create an email template from scratch using the ‘Advanced Editor.’ section you can create an email template from scratch using the ‘Advanced Editor. Just select ‘Advanced Editor’ from the ‘Editor Type’ field. It will automatically load the advanced editor below, and you can also create a ‘Basic Editor by switching to Basic Editor from Advanced Editor.


Email Templates are created using the Salesforce Templates feature.


In this option, you can select a classic email template you created in Salesforce: ' TEXT’ or ‘CUSTOM’.


When you select an existing email template you created in Salesforce, MassMailer will load the same into the basic editor in view-only mode. Unless it is purely text-based, we don’t recommend updating it using the basic editor of MassMailer.





Create a basic text-based email template using the ‘Basic Editor’ provided by MassMailer.

You can create a basic text-based email template by selecting ‘Basic Editor’ in the ‘Editor Type’ field in the ‘Create Template’ section.



Other Options in the Email Templates Step:

The following options are provided to enrich your experience of creating email templates in MassMailer.


Merge Field Syntax

You also have the option to select any merge field from a specific object and enter that into the email template.




 You can select either the classic or lightning merge field notation.




A/B Testing

You can test with an alternate email template by enabling the A/B Testing option in the top section.

After that, a new Sub Tab, ‘Select Alternate Template,’ will appear, which can be used to select/build an alternate template to be sent.


File Attachments

MassMailer supports file attachments with a total size of up to 7 Mb. 

You can upload the files from the computer. You can select one file at a time from the computer.




You can also upload them from the storage of Salesforce Documents, Salesforce Content, Salesforce Attachments, and Salesforce Files.



Once you select the files, click on the ‘Add’ button to add the files.



You can also apply a filter for files. Click on the ‘Filter’ button to apply the filter of the related files present on the current object/parent object.

You can apply multiple filters to add various files, which will be dynamically attached to the email. 



Integrate MassMialer Docs with MassMailer Attachments.

We have added another option for the users to find and attach documents stored in MassMailer Docs.


We can get both Private and Public files if we add any filter.

 

Once you have uploaded the files/added filters, click the ‘Next’ button to go to the next step.


Sender Options

In this step, you can select the ‘sender name’, ‘from an email address', or ‘reply-to email' address per your needs.


Logged In User

You can select the logged-in user as the sender using this option.



Common Sender

You can select a Common sender as the sender using this option. 




You can define the global sender by going to 

MassMailer Setup > Email Settings > Sender Settings > Common Senders



On Behalf Of

In this option, you can select any email address as the sender, reply to it, and enter any sender name.



Custom

In this option, you can have a completely customized sender option. You can select from the name, From Email, and Reply to Email from the target object or user fields.


Select CC Email Field

In this option, you can select the email field and enter your email manually.




You can also select the email field of the object and click on the ‘Select CC Fields’ button to the email field.



Select BCC Email

In this option, you can BCC the sender by selecting the email. You can also enter the email manually.



You can also select the email field of the object and click on the ‘Select BCC Fields’ button to the email field.


You can set up the CC/BCC email in the MassMailer Setup -> Email Settings -> Sender Options. 



Once you are done with the Sender Options, move to the next step by clicking the ‘Next’ button.


Delivery Options

In this step, you can select if you want to send the email now or later by scheduling a specific date and time in the current user's time zone.



You can select ‘None’ for ‘Email Preference Group’ if you want to display the Email Preference Group in the emails.




You can also select the ‘Email Unsubscribe Group’ if you don’t want the ‘global unsubscribe link’ to appear in the email; instead, display the ‘Email Preferences’ link so that the recipients can unsubscribe from a specific group.



You can define the Email Preference Groups by going to MassMailer Setup -> Tracking Settings -> Email Preference Group.



If you don’t want to display the unsubscribe link, just set the ‘Suppress the unsubscribe link in the email’ to TRUE.



Select Suppression List View

This allows you to suppress the emails by going to the email present in the selected list views.


IP Pools

IP pools are groups of dedicated IP addresses used to manage the sending reputation of your mail streams.



You can create an IP pool by going to MassMailer Setup -> Email Settings -> IP Pools.


Link Email Event Logging

While sending an email, the email status can be linked to Multiple other parent objects to view the Related list on the Parent Object layout.

Here, you can select the parent relationship field that you want to link - 

To view the related email status on the parent layout, you can add the ‘massMailerEmailStatusList’ lightning component to the page layout using lightning.



Suppress Email Event Logging

You can select any email events to be suppressed by selecting one or more event options.


Suppress Salesforce Activity Logging

You can turn off the activity logging by Salesforce if needed.


Review and Send

In this final step, you can review all the settings and make sure everything is correct before you submit it. 




You can preview the email template by clicking the ‘Preview Email’ button.




You can also send a test email by clicking on the ‘Send Test Email’ button to send a test email. You can enter multiple email addresses as comma-separated values and select a ‘merge record’ even if you don’t have any merge fields.








You can also check the email deliverability using the ‘Email Test Deliverability’.



If everything looks good, click the ‘Finish’ button to submit the email campaign to be sent.



Send Emails to any Standard or Custom Object

You can navigate to the specific standard or custom object details page and click the ‘Send via MassMailer’ button to send emails to a specific object. It will take you to the ‘MassMailer Outreach Wizard’.





The ‘Target Audience’ step will display the object name and specific record details. The rest of the steps are the same as before.



Send Emails to all the records in a Salesforce List View

You can navigate to the specific object tab and select any Salesforce List View. Now click the ‘Send via MassMailer’ button to email all the records in the selected list view. It will take you to the ‘MassMailer Outreach Wizard’.




The ‘Target Audience’ page will display the object selected and the partial results. The rest of the steps are the same as before.



Send Emails only to the selected records from a Salesforce List View

You can navigate to the specific object tab and select any Salesforce List View. Select the specific records you want to send emails to and then click on the ‘Send via MassMailer’ button to send emails. It will take you to the ‘MassMailer Outreach Wizard’.




The ‘Target Audience’ page will display the selected object and records list. The maximum number of records displayed is 50. The rest of the steps are the same as before.



Send Emails from a Salesforce Campaign to the Campaign Members

Navigate to the Salesforce Campaigns tab and select any list view. Now click on the button called ‘New MassMailer Campaign’ that is shown on the right-hand side.


You can edit the campaign name if you need to. Click on the ‘Next’ button to go to the next step. 

In this step, you can add the campaign members from a MassMailer List View. 

How to Create an Email Template

The email template is created in the MassMailer Template Builder. It contains three sub-tabs to handle template creation and updating: Manage Email Template, Manage Base Template, and Manage Display Condition.


Manage Email Template

Manage Email Template is used to create the advanced template or dynamic template. Follow the steps below-given steps to create the template.


  1. Select the folder from the Select Folder drop-down menu



  1. Select the Create New Template from the Template drop-down




  1. Fill in the Template Name and Email Subject



  1. Added Email Preview Text to Templates 

  2. Go to the Template and select the Content drag to the Body and you can also add more rows from ROWS.


  1. Click on the Save button



  1. Click on the Save to Salesforce button.




We can also add Merge fields in the Template for getting record information of an object and it can be copied from the Find Merge Syntax section.

Merger fields also provide fields in Classic mode or Lightning mode and you can copy merge fields by clicking the Copy button.




Manage Base Template

Base templates are a type of reusable template, which can be used to create actual templates. MassMailer provides many templates out of the box which is used generally. Follow the below-given steps to create the template.

  1. Select the Create New Template from the Select Base Template drop-down menu.



  1. Fill in the Template Name field



  1. Go to the Template Information and select the Content to drag to the Body and you can also add more rows from ROWS.


  1. Click on the Save button



  1. Click on the Save to Salesforce button.



Manage Display Condition

You use Manage Display Condition on the fields to show the template on a particular criterion or we can say condition. Follow the below-given steps to create a display condition.

  1. Click on the New Display Condition button


  1. Fill in the Enter Display Condition Name field in the Display Condition Name section




3. Select the Object from the Select Object drop-down menu in the Select-Object section



  1. Go to the Select Filter Criteria section and click on the Add Row button

  1. Click on the Select Field button



  1. Select the option from the Select an option drop-down menu and click on the Done button


  1. Select the operator from the Select Operator menu


  1. Fill in the Value in Enter Value field


  1. Click on the Save button.




We can also add child filter criteria from the Select Filter Criteria For Child section.

Follow the below-given steps to add child filters.

  1. Click on the Add Filter button


  1. Select any one option from the Select an option drop-down menu and click on the Done button


  1. Click on the Select Field button



  1. Select the option from the Select an option drop-down menu and click on the Done button

  1. Select the operator from the Select Operator menu


  1. Fill in the Value in Enter Value field and click on the Save button.



How to add Manage display condition in Template

Follow the below steps to add the display condition in the template.


  1. Select any created template in the Template Information section 





2. Go to the Template section and click on the Row in the body



3. Go to the ROWS and click on the Select Condition button



4. Select the object from the Select a display condition section



5. After selecting the object select the condition from the list 


6. Click on the Save button





7. Click on the Save to Salesforce button.




Cloning of Template

You can clone the given template and save it in the new folder by following the given steps.

  1. Select the Template and click on the ‘Clone’ button.

  1. Select the folder in which you want to save the template and click on the ‘Save’ button



Note: After adding the condition in the template use the same template in the MassMailer Outreach wizard for the record of the object that matches the condition and we can also add a manage display condition in MassMailer Template builder by following the above steps in the Email Template section of MassMailer Outreach Wizard.



How to use the Embedded Visualforce Template

The embedded Visualforce template is used to send an email by using the template API Name. In the VF template, we need to write the API name in between the script that is {%MMVFTemplateAPINameStart%}Template API Name{%/MMVFTemplateAPINameEnd%} and after using the template it will send content successfully.



MassMailer Verify From MassMailer List View

You can navigate to the specific MassMailer list view record details page and click on the ‘MassMailer Verify’  button to verify emails.



Here you can select the email field of the object - 


Now you can check how many emails are valid, invalid, etc.



MassMailer Verify From Salesforce List View

You can navigate to the specific object tab and select any Salesforce List View. Now you can also select the specific records you want to send emails to and then click on the ‘MassMailer Verify’ button to verify emails. 




Here you can select the email field of the object.


Now you can check how many emails are valid, invalid, etc.



MassMailer Verify From the Record Page

You can navigate to the specific standard or custom object details page and click on the  ‘ MassMailer Verify' button to verify the email.


Here you can select the email field of the object.


Now you can check how many emails are valid, invalid, etc.



How to use MassMailer List View Preview and Export functionality 


Here you can see the records of the MassMailer list view.



To Export, these records click on the down arrow icon as mentioned in the image.



You can save these records in your system. 



How to use MassMailer View In Browser functionality

This feature can help is adding a hyperlink to the email which can be used to open emails outside the email client.

To use this functionality, Log Activities using Salesforce Email Message Must be enabled in the setup.


Then, you can use these merge tags in the email body.

How to use Follow Up email functionality 

You can navigate to the specific MassMailer Outreach record go to the related Mass Mailer Email Status, and then click on the Follow Up Button to open the Email composer



Here you can reply, which will be sent in the same original email thread.


Then click on Send Button and then Ok

Understanding Inbuilt Suppression functionality in MassMailer

Suppression is a record that is associated with a particular record. These are identifiers that a record should be sent to any email from MassMailer.

This helps avoid sending emails to recipients who opted out, which increases the domain's deliverability and credibility.

You can navigate to the specific MassMailer list view record details page and click on the ‘Add to Suppression List’

How to use Email Monitor functionality

Email Monitor allows you to analyze your emails before sending them to actual recipients. It checks emails for Vocabulary & Copywriting, Coding & Layout, Link Quality, and responsive Email Client Previews.


To test the email, you need to fill Sender Information fields with related information


Then, information related to the Email template needs to be filled in.



Then click on the Test Email Deliverability button.

After some time, you will be able to see the details for the email as shown below.

How to use Simple Send Via MassMailer

Simple send via Massmailer is used to send email through the object and using this you can send email from any standard object or custom object having an Email Field.

For using Open an object record go to the Email Via MassMailer and select Email FieldsEmail Subject fill in the body and click on the launch button.



We can also select the template and merger field by clicking the select template button.



How to add Simple Send Via MassMailer in an object

To add the Simple send via MasMmailer follow the below-given steps:


  1. Navigate to any object and open any record



  1. Click on Setup and then click on the Edit Page button



  1. Search for the Simple Send Via MassMailer in the Quick Find box and drag it and drop it into the add component.



  1. Click on the Save button




  1. Click on the Activate button




  1. Click on the Assign as Org Default button



  1. Select the Desktop and click on the Next button



  1. Click on the Save button



  1. Go back to the Object and open any record and check the Activity section.




How to Use MassMailer Split Campaign
Masmailer Split Campaign is a feature through which we can split the campaign members and send emails using the flow.


How to split a campaign using Split Campaign Feature -

The user must create some records in the Campaign object to use the Split Campaign Feature. After confirming the records exist, please follow the below steps:


  1. Navigate to the ‘Campaign’ Object



  1. Open any created campaign ‘Record’



  1. Click on the ‘Split Campaigns’ button






  1. Enter the ‘Number’ in the field and click on the ‘OK’ button. By default, it will be 1.

For sending an email through the flow we have provided a flow “MassMailer Split Campaign” which comes with the MassMailer package. Before using Drip Campaign for flow we have to add a custom picklist value in the Type Field called ‘MassMailer Split Campaign’.


  1. Go to ‘Object Manage’ and search for the Campaign



  1. Open Campaign and Search for the “Type” Field in the Field & Relationship section


  1. Go to the “Campaign Type Picklist Values” section 




  1. Click on the “New” button and add “MassMailer Split Campaign” and save it.




After Adding the custom picklist follow the below-given steps to create Drip Campaign


  1. Create a Drip Campaign by selecting the Status as “In-Progress”, Type as “MassMailer Split Campaign”, and clicking on the Active checkbox


  1. Create the below-given custom fields and fill them accordingly.

            From Name 

            From Address 

            IP Pool Name

            Template API Name 

            Reply To Email




How to use MassMailer Drip Campaign

A drip campaign is an automated marketing technique that entails distributing a number of pre-planned, targeted emails or messages to people over a predetermined amount of time. The messages are "dripped" out at fixed intervals or based on specific triggers like user behavior, actions, or predefined dates.


A drip campaign's primary goal is to engage consumers, nurture leads, or bring them through a sales funnel by providing them with timely cues or important information. The goal of these campaigns is to stay in constant contact with the receiver without becoming too intrusive.           

     Key Features of a Drip Campaign:

  1. Automation: Once set up, the emails or messages are sent automatically without manual intervention.

  2. Triggers: Drip campaigns can be triggered by actions such as signing up for a newsletter, downloading content, making a purchase, or abandoning a shopping cart.

  3. Predefined Schedule: Emails are sent at regular intervals, such as daily, weekly, or based on a user’s action (e.g., after opening an email).

  4. Personalization: Drip campaigns can be personalized based on user data, such as name, past interactions, or preferences.

  5. Goal-Oriented: Drip campaigns are typically used to achieve specific goals, such as converting leads, onboarding new customers, re-engaging inactive users, or promoting products.


Example of a Drip Campaign:


          A lead nurturing drip campaign could look like this:

  •  Day 1: Welcome email thanking the user for subscribing.

  •  Day 3: An educational email with a free eBook or resources.

  •  Day 7: A follow-up email introducing a product or service that meets their needs.

  •  Day 10: A promotional email offering a discount or special offer.

  •  Day 14: A reminder or feedback email to encourage further engagement.


          Benefits of Drip Campaigns:

  • Builds Relationships: Engages potential leads and customers over time, establishing trust.

  • Increases Conversions: By sending relevant content based on user behavior, drip campaigns can lead to more sales or actions.

  • Saves Time: Once set up, a drip campaign runs automatically, allowing businesses to focus on other tasks.

  • Improves Engagement: Keeps leads or customers engaged with regular, targeted communications.


  Steps to Create Flow for Drip Campaign Functionality:


  1.  In the quick find box search for ‘Flow’, click on Flows, and click on the ‘New Flow’ button.

  2. Select the ‘Schedule-Triggered Flow’ option and click on the Create button.



  1. Select Start date/time choose frequency ‘Daily’ and click on done

            


  1. Choose the object and filter condition in the next step.


            


  1. Add an action and search for the ‘GetCampaignMembers’ apex action.

  2. Enable the ‘campaignIds’ variable and pass {!$Record.Id}


            


  1. Add a Decision as shown in the image below in the next step

How Drip Campaign Functionality Operates:


  1. Create a Drip Campaign and add some campaign members to that campaign.

  2. Set Status as “In-Progress” and Type as ‘Prospects Outreach Generic’.

  3. Set the number of target campaign members in the field of ‘Target campaign members’

  4. Set the Template API name and Email drip Templates values as shown in the image below





  1. At the scheduled time, it will perform the desired action.



MassMailer Lead Response Drip

A series of targeted messages are sent based on each lead's response. This type of campaign focuses on handling and responding to leads through various channels, such as emails, phone calls, and websites.

To put it briefly, Lead Response Management is the process of managing and answering leads that arrive via your website, phone calls, and emails, among other channels. 


How to use Lead Response functionality


For Using MassMailer Lead Response Drip, the following criteria should be fulfilled on the Lead:


  • The HasOptedOutOf Email should be False.

  • The Drip_Campaign__c should have the value Lead Response Drip

  • The Drip_Start_Date_Time__c should not be null.

  • The Drip_Campaign_Status__c should have value In Progress.

  • The Status should not be Unqualified.


       



Enhanced Unsubscribe / Group Unsubscribe feature

The enhanced Unsubscribe / Group Unsubscribe feature is designed to enhance user experience and improve the integrity of email list management. It incorporates advanced security measures to prevent fake unsubscribe requests and accidental clicks. Key features include:


Captcha Verification: Users must complete a captcha verification before unsubscribing, ensuring that only legitimate requests are processed and preventing automated or malicious unsubscribe attempts.

User-Friendly Interface: A simple and intuitive web page allows users to easily manage their subscription preferences.


Global Unsubscribe

When a recipient indicates that they would like to opt out of any email you send, click on the Unsubscribe From All Emails link within your emails.


Steps To follow:


  1. Send an Email from MassMailer

  2. Receive Email

  3. Click on the Unsubscribe Link


  1. Fill in the Email and captcha and click on the Unsubscribe Button.


Group Unsubscribe

Group Unsubscribe is a feature designed to give users greater control over the emails they receive from an organization. Instead of unsubscribing from all emails from a sender, users can choose to unsubscribe from specific groups or categories of emails. This allows for more personalized email preferences and helps maintain engagement with relevant content.


Steps To follow:


  1. Create an Outreach and Select any group on Delivery Option > Select Email Preferences Group >Select an Email Unsubscribe Group


2. Launch the Outreach

3. You will receive an email with the following links:

> Unsubscribe From This Group

> Manage Email Preference

> Manage All Email Preferences



4. Unsubscribe From This Group only unsubscribe from that particular group which you have selected while sending email

,5. Provide Email, Captcha, and OptOut toggle buttons and click on the Save Preferences button as shown in the image below.

6. Manage Email Preference allows you to unsubscribe from all the selected Email preference group groups.

7. Provide Email, Captcha, and OptOut toggle buttons for those groups which you want to group unsubscribe and click on the Save Preferences button as shown in the image below.


8. Manage All Email Preferences allows you to unsubscribe from all the groups in your org.

9.  Provide Email, Captcha, and OptOut toggle buttons for those you want to group unsubscribe and click on the Save Preferences button, as shown in the image below.



Resubscribe:-

Resubscribing is when a user who has previously unsubscribed from a particular email list or group can opt back in to start receiving emails again. This feature allows users to rejoin specific email categories or groups they are interested in, ensuring they receive the most relevant content and updates from an organization.






Steps to follow:


Click on the Update Preferences button as shown below

  1.  Provide the Email to which you want to resubscribe, Captcha, and Opt-In toggle buttons for those groups to which you wish to unsubscribe, and click on the Save Preferences button as shown in the image below.

Emails through Flows data

Ability to track the emails that are sent through a specific flow and in MassMailer.



Relaunch button on the MassMailer Outreach details page

  • Ability to Relaunch to Undelivered Recipients

  • Ability to Relaunch to Open

  • Ability to Relaunch to Click

  • Ability to Relaunch to All


This feature lets users quickly and easily resend the email to undelivered recipients, open, click, and all recipients.

How to use:

Drag the relaunch button from the MassMailer Outreach’s page Layout, as shown in the images below, and click on the Save button





You will find the Relaunch option on the outreach from the right-corner dropdown.



Once you click on the Relaunch Option, you will see the options Relaunch to Undelivered Recipients, Relaunch to Open, Relaunch to Click, and Relaunch to All. Select any one of them as you need them and click on the Launch button.




Don't log multiple opens and clicks


The following fields on the mm email status object will be created.

  • The first open date and time

  • The last open date and time

  • No of opens

  • The first click date and time

  • The last click date and time

  • No of clicks

  • For the first open event, store the date/time, and for the subsequent opens, just update the existing open event.

  • This will help reduce the overall storage as well.
